Privacy Policy
How My Champagne Concierge uses personal data when you contact us, plan a visit or use this website.
Last updated: 23 October 2026
Who is responsible for your data?
The data controller is Conciergerie Champenoise SASU, trading as My Champagne Concierge, SIREN 933 449 811, registered at 40 rue de la Vence, 08000 Charleville-Mézières, France.
For a privacy question or to exercise your rights, email contact@mychampagneconcierge.com or write to the registered office above.
What information do we collect?
When you contact us through the website, email, telephone or WhatsApp, we may receive your name, email address, telephone number, travel dates, party size, accommodation or arrival location, requested services, budget and the preferences or message you choose to provide. We also keep the correspondence and arrangements needed to handle your request or a confirmed service.
Fields marked with an asterisk on the inquiry form are required to handle that form. Other fields are optional. Without the necessary contact details and request information, we may be unable to respond or prepare a suitable proposal.
Technical data such as an IP address, browser information and security logs may be processed by the website and its hosting services for operation, troubleshooting and protection against misuse. Form messages may be stored in the website administration and forwarded to the company’s email inbox.
Please do not send medical records, identity documents, payment-card details or other unnecessary sensitive information through the general inquiry form. If a particular requirement involves health information, we will discuss the minimum information needed and, where required, obtain explicit consent separately.
Where does the information come from?
Most information is provided directly by you. A hotel, travel professional, group organiser or fellow traveller may also pass on the details necessary to arrange a service on your behalf. In that case, we use the information for the requested arrangements and explain its source when we contact you, where applicable.
If you provide another person’s details, please make sure you are entitled to do so and share this policy with them. We do not treat a referral or an inquiry as permission to send unrelated marketing.
Why do we use the data, and on what legal basis?
Inquiries, proposals and bookings: we use the information needed to respond to your request, prepare a proposal, organise reservations or transport and provide an agreed service. The legal basis is taking steps at your request before entering into a contract or performing a contract (GDPR Article 6(1)(b)).
General correspondence and website security: we may process information on the basis of our legitimate interests in responding to relevant messages, managing professional relationships, preventing misuse and keeping the website secure (Article 6(1)(f)), subject to your rights and interests.
Accounting and legal obligations: information necessary for invoices, statutory records or other applicable duties is processed to comply with legal obligations (Article 6(1)(c)). Information needed to establish, exercise or defend legal claims may be retained under the applicable legal basis and limitation periods.
Optional marketing: sending an inquiry does not subscribe you to a newsletter. If a newsletter or other consent-based marketing is offered, a separate, specific opt-in is required. You can withdraw that consent at any time, without affecting processing already lawfully carried out (Article 6(1)(a)).
Who may receive your information?
Access is limited to people who need the information to handle your request, manage the business or maintain the website. Technical service providers may process data on our instructions, including IONOS for hosting and KARL-Concept for website maintenance, within the scope of their services.
Where your requested arrangements require it, relevant details may be shared with the Champagne house, restaurant, accommodation, driver, shipping provider or another service provider involved. We limit this to what is necessary and distinguish their own service and privacy responsibilities from ours. We do not sell your personal data.
Data may also be disclosed to competent authorities or professional advisers where legally required or necessary to protect rights under the applicable law.
How long is information kept?
Unconfirmed inquiries: we keep the information needed to answer and follow up your request, normally for no more than three years after your last incoming contact, unless a shorter period is sufficient or a legal reason requires a specific record to be retained.
Customer and contract records: relevant records are kept for the duration of the service and may then be archived with restricted access for up to five years after the end of the relationship where needed to evidence the arrangements or protect legal rights. Applicable statutory periods or an ongoing dispute may require a different period.
Accounting documents: invoices and legally required accounting records are kept for the statutory period, generally ten years from the close of the relevant financial year.
Marketing, if separately authorised: contact data is kept until consent is withdrawn or, in principle, for up to three years after the last relevant contact from a prospect or the end of a customer relationship. Only the limited information needed to respect an objection or meet a legal duty may be retained afterwards.
Technical records and backups are kept for the time necessary for security, operation and recovery, with retention restricted to those purposes. Data may be held digitally and, where necessary for the service or legal records, on paper.
External services and international processing
The website uses Google Fonts, which connects your browser to Google to display fonts. Google Ireland Limited and other Google group entities may process technical information, including an IP address, with possible processing in the United States. See Google’s privacy information for details.
If you open a booking link, you are directed to Calendly, which operates its own booking service and processes the details you enter under its privacy notice. We receive the information needed to handle the appointment or experience you request. Calendly’s services may involve processing outside the European Economic Area; you can contact us directly by email or telephone instead.
If you choose to contact us through WhatsApp, that service is provided under WhatsApp’s own terms and privacy policy, including those of WhatsApp Ireland Limited for the European region. Its service and group providers may process information outside the European Economic Area, including in the United States. See WhatsApp’s European privacy policy. You may use email or telephone instead.
Where a service used for your request involves a transfer outside the European Economic Area, the applicable protection must rely on an appropriate legal mechanism, such as an adequacy decision or contractual safeguards. You can contact us for information about the recipients, destination countries and safeguards relevant to your arrangements. The fact that the website is hosted in Europe does not by itself mean that all external services process data only within the European Union.
Your rights and how to exercise them
Under the GDPR and applicable French data protection law, you may request access to your personal data, correction of inaccurate information, erasure or restriction of processing. Depending on the legal basis and circumstances, you may also object to processing, request data portability or withdraw consent. You may object to direct marketing at any time.
Send your request to contact@mychampagneconcierge.com or to the registered office. We may ask for proportionate information to confirm your identity if there is a reasonable doubt. We normally respond within one month. If a lawful extension is needed because of the complexity or number of requests, we will explain this within that initial period.
You may lodge a complaint with the French supervisory authority, the CNIL, or another competent supervisory authority. Contacting us first may help resolve a concern, but does not remove your right to complain directly.
Security and automated decisions
The website uses HTTPS to protect information in transit. Access controls, website maintenance and proportionate technical and organisational measures are used to help protect personal data. No online transmission or storage system can be guaranteed completely secure.
We do not make decisions producing legal or similarly significant effects about you solely through automated processing. Technical anti-spam or security checks may be used to protect the inquiry form.
Marketing calls, cookies and policy updates
Providing a telephone number for a request does not authorise unrelated marketing calls. Any commercial telephone solicitation must respect the consent requirements and lawful exceptions applicable in France. You may ask us to stop marketing contact at any time.
Cookies and similar technologies are addressed separately from this personal data policy. This page does not replace the cookie information or consent controls for the website.
This policy may be updated when the services, website or legal requirements change. The date shown at the top identifies the latest version. For further information about the company, see our Legal Notice.
